A simple Shadow AI checklist for staff

Most Shadow AI isn't malicious — it's helpful people trying to save time. This is a one-page guide your team can actually use to know what counts, what's risky, and how to get a tool approved safely.

What counts as Shadow AI?

  • Using ChatGPT, Claude, Gemini or Copilot on a personal account for work tasks
  • Pasting student names, grades, IEPs or staff data into public AI tools
  • Using AI image, video or voice generators not approved by your organisation
